1. A minimum of 50% of the stall charges shall be paid at the time of booking. The balance payment shall be made by 15″ Dec.2024
2. The stall/s shall be confirmed, and a HALL PASS shall be issued only on receipt of full payment, failing which the Organisers (The Indian Institute of Architects, Nagpur Centre) reserve the right to cancel the stall/s and retain any sum already received.
3. The stall/s cannot be transferred or shared with others without prior written permission of the Organisers.
4. IIA Nagpur Centre reserves all rights to decide upon a refund of the booking charges if the booking is cancelled by the stall holder. Stall charges are not refundable, in case of failure to take possession/participation.
5. The possession of stall/s (only against HALL PASS) shall be given on 7th Jan. 2025 after 3:00 PM.
6. Exhibitors must produce a HALL PASS while taking possession of the stall/s
7. Exhibitors must complete all works within the space provided in the stall/s such as display, décor, etc. by 09:00 AM on 10th Jan. 2025. This shall include clearing from the stall/exposition premises all extraneous matter such as packing material or any such material which is not meant to be exhibited.
8. Under any circumstances no exhibitor shall be allowed to drive screws/nails on the exterior/interior shell of the stall or stick bills in the premises of the exposition. Any damage done shall be made good by the exhibitor at his/her own cost.
9. The exhibitor is prohibited from occupying any space [in length, width or height) outside his/her stall/s. Any exhibit or allied material must not obstruct the full width of the common passage/s
10. Storage of empty/extra exhibits or allied material is prohibited in the exposition premises and the same must be removed from the premises by 5:00 PM on 14th Jan 2025
11. Under all circumstances, vacant possession of the stall/s must be given to the Organisers by 10:00 PM on 14th Jan.25 after the exhibition is officially over on 13th Jan 2025. Organisers hold the right to dismantle the same at the risk and cost of the exhibitor after the said deadline expires.
12. Cleanliness & maintenance of the stall/s shall be the sole responsibility of the exhibitor
13. No stall/s shall be left unattended by the exhibitor during the exhibition timings. The exhibitor or his representative must be present at the opening & closing of the exhibition.
14. No inflammable liquid/material such as kerosene, petrol, diesel etc. shall be kept in the stall/s. Smoking is strictly prohibited inside the exposition premises
15. Notwithstanding arrangements made by the Organisers, exhibitors are expected to maintain fire-fighting equipment within their stall/s as per Safety Regulations in force including portable emergency lights.
16. Under unforeseen and/or exceptional circumstances, the Organisers reserve the right to change/ alter the floor plan/stall layout, the date, duration & timings of the exposition.
17. The exhibitor shall be fully responsible for insurance against all risks, safety and security of his/her exhibits, himself/herself, his/her employees and the public.
18. The exhibitor shall be fully responsible for any kind of tax liability, other unsettled issues and legal matters pertaining to the Government and Local Bodies/Authorities.
19. Local and outstation participants/exhibitors shall be fully responsible for complying with GST Rules as may be applicable from time to time and shall indemnify Organisers from any liability whatsoever in this regard.
20. Public announcements, quizzes, lucky draws and the like from within the stall/s and exposition premises are prohibited
21. No demonstration/exhibit/substance shall be allowed within the stall/s and exposition premises which in the opinion of the Organisers, may cause nuisance/harm to the public or other exhibitors.
22. Over-the-counter sale shall not be allowed under any circumstances.
23. Follow Covid-19 protocols as per the guidelines(if any) issued by local bodies & Centres for Disease Control & Prevention, India
24. In all matters not covered by these rules, other disputes, complaints or claims pertaining to the exhibition, the decision of the Organisers shall be final & binding on all exhibitors.
25. The exhibitor shall strictly adhere to the above Rules & Regulations.
